Business Process Challenges

A U.S.-based federal agency relied on a SharePoint Designer 2013 workflow to manage employee separation processes. The workflow coordinated notifications, compliance checks, approvals, and status tracking across multiple departments.

As the process evolved, the workflow became increasingly difficult to maintain. Complex nested conditions, extensive string parsing, and tightly coupled notification logic made updates risky and time-consuming. Troubleshooting failures required significant effort due to limited visibility into workflow execution.

The organization also faced the challenge of operating on a deprecated platform. With SharePoint Designer 2013 reaching end-of-life, the agency needed a modern solution that could support compliance requirements, provide auditability, and scale with future business needs.

Softree modernized the solution by migrating the workflow to Microsoft Power Automate using a modular, cloud-native architecture.

The implementation began by redesigning the workflow structure into clearly separated stages, including workflow initiation, variable initialization, date calculations, business rule evaluation, email processing, and status synchronization. Native Power Automate functions replaced complex SharePoint Designer string manipulation, improving readability and reliability.

SharePoint Online served as the system of record, while Power Automate orchestrated workflow execution and business logic. Dynamic notification routing was introduced using centralized email processing logic that automatically determined recipients based on purchase card, parking pass, passport, and PTIP requirements.

Structured error handling, run history monitoring, and audit-friendly processing provided operational visibility that was previously unavailable.
