Audio equipment supporting Olympic events such as Ski Jumping, Ice Skating, and Bobsleigh was frequently transferred between venues throughout the competition. The existing process relied on users knowing the exact warehouse or storage location of equipment before performing inventory transactions in Dynamics 365 Finance & Operations and warehouse management systems.
When equipment moved outside these systems, traceability was lost, creating operational inefficiencies and increasing the risk of misplaced or unaccounted inventory. Field teams needed a faster, mobile-friendly way to scan, validate, and transfer equipment without requiring prior knowledge of its exact location while maintaining accurate inventory records in real time.
Our team designed and implemented a barcode-enabled mobile solution using Microsoft Power Apps, Power Automate, Dataverse, and Dynamics 365 Finance & Operations. The application supports both outbound and inbound transfer journal workflows, allowing users to move equipment between locations using either a mobile device camera or a physical barcode scanner.
The solution automatically validates scanned serial numbers and barcodes against live inventory data, eliminating manual lookups and reducing errors. Parameter-driven configuration enables administrators to define default warehouse settings, while real-time integration with D365 F&O ensures that transfer journals are created and posted directly from the mobile application.
By leveraging Dataverse virtual tables and HTTP-based integrations, the platform provides a seamless user experience while maintaining data consistency across backend systems.
The barcode scanning application transformed equipment management operations by enabling teams to track and transfer assets from anywhere without needing to know their exact storage locations. Real-time validation and automated journal creation significantly reduced manual effort while improving inventory accuracy.
Integration with Dynamics 365 Finance & Operations ensured that inventory updates were reflected immediately, providing stakeholders with complete visibility into equipment movements across venues.
